Position Summary 
The Administrative Coordinator will be responsible for supporting the efficient and smooth operation of the office including supporting shipping, receiving, courier activities, and providing broad support to the Genevant team as required. The responsibilities of this position include 60% shipping & receiving and 40% administrative duties.

Responsabilities:

Shipping and Receiving  
  • Receiving all the goods delivered to the facility and ensuring recipients are notified for pick up of deliveries.
  • Entering received POs into NetSuite system against packing lists as well jointly work with the Purchasing and Finance departments to resolve any inconsistencies.
  • Coordinating local and international shipments with couriers.
  • Preparing paperwork for shipments and packaging according to Shipping Request Forms.
  • Overseeing local, international, and remote shipments with couriers and/or external parties to resolve issues and expedite delivery.
  • Keeping all team members informed about their shipping and offering advice on the best way to handle shipments so that they arrive within the established deadline.
  • Maintaining bi-weekly supplies inventory and coordinating pickup of biohazardous waste.
  • Working with the Facilities department to ensure office space and the Shipping-Receiving area are kept tidy.
Administrative support
  • Handling various administrative responsibilities for the organization, including: 
    • distributing incoming mail 
    • making local courier arrangements
    • word processing and database entry 
    • ordering and maintaining an inventory of stationery, office, and kitchen/fruit supplies 
    • ensuring kitchen and meetings rooms are set up and cleaned up before and after meetings, ordering catering as necessary 
    • scanning and compilation work 
    • purchasing articles and subscriptions 
    • ordering business card
  • New hire on boarding; ensure appropriate workspace is set-up.  
  • Point of contact for visitors and deliveries, ensuring appropriate sign-in.
  • Coordinating travel and accommodation through corporate travel services.
  • Reconciling the company's business card monthly.
  • Assisting Executive team members with setting up meetings and other administrative tasks.
  • Supporting HR department on company events by coordinating with vendors, logistics, and details that ensure a successful event.
  • Acting as the vacation backup for the Purchase Associate and providing support on the Finance system when necessary.
  • Providing support to internal initiatives, including charity organizations, environmental donations, and acting as the point of contact.
  • Other related duties as assigned.
Requirements, Knowledge, skills, and abilities:
  • Post-secondary education plus 2 years of administrative experience or similar positions in Shipping and Receiving, and/or Administration. 
  • Intermediate skills using the Office Suite of software in a Windows environment.  
  • Ability to work highly independently and meeting multiple demanding deadlines.  
  • Manages workload efficiently, including setting priorities, responding to changing priorities.  
  • Experience multitasking and working in a fast-paced, team-based work environment. 
  • Ability to lift and carry 30lbs/14kg for short distance comfortably and move large parcels
  • Attention to detail is a must. 
  • Ability to interact with staff and guests professionally and with a positive demeanour. 
  • Reliable, shows initiative and willingness to take on new tasks, and provides recommendations on how to improve efficiencies and existing processes.  
  • Problem-solving, strong interpersonal, oral, and written communication skills.  
  • Responds to issues and enquiries in a quick and professional manner.  
  • Establishes and maintains effective, professional, collaborative working relationships with staff at all levels of the organization.

The Canadian base salary range for this position is $47,700 - 71,500 excluding performance bonus and benefits. The base salary is determined by various factors including, but not limited to, education, qualifications, experience, and internal equity. The actual salary offered may be higher or lower than the posted range, depending on the candidate’s qualifications and other factors
